Privacy statement
Machinefabriek Douna B.V., trading under the name Douna Machinery, established at Hidalgoweg 1, 8938 BA Leeuwarden, the Netherlands, and registered with the Dutch Chamber of Commerce under number 01050279, is the controller responsible for the processing of personal data described in this privacy statement.
Collection and use of personal data of customers, suppliers and other contractors
We would like to draw your attention to the fact that we collect and use the personal data you provide to us because this is necessary in order to conclude and perform any agreement with you. This applies both to our (prospective) customers and to parties from whom we purchase goods and/or services.
If you are a (prospective) customer, we use your data to send you a quotation, to determine the specifications or requirements a particular product or service must meet, to supply goods or perform work for you, to invoice you, and to communicate with you promptly and efficiently regarding the performance of the agreement.
If you are a (prospective) supplier or other contractor, your personal data are likewise necessary for the conclusion and performance of the agreement. In the context of purchasing, this is required to inform you of the specifications or requirements a product or service must meet in our view, to send you a request for quotation or place an order with you, to pay your invoices, and to communicate with you promptly and efficiently regarding other aspects of the agreement.
You are not obliged to provide us with your personal data. However, if you provide us with no personal data, or insufficient personal data, we may be unable to carry out the activities referred to above.
Which personal data we process
Depending on your relationship with us, we process: first and last name, job title, company name, business email address, business telephone number, invoicing and visiting address, information on your activity on our website, browser and device type, and your IP address.
Contact form
You can send us a message through the contact form on our website and, if you wish, attach a file such as a drawing, specification or 3D model. We use the information you enter and any files you attach solely to answer your question, assess your enquiry and, where appropriate, prepare a quotation. The legal basis for this is the performance of, or the steps taken prior to entering into, an agreement with you. We ask you not to send more personal data than is necessary for your enquiry.
Your message and any attachments are stored in our records and treated confidentially. The retention periods set out under ‘Retention period’ below apply.
To prevent automated misuse of the form, we use Google reCAPTCHA (v2). Google processes, among other things, your IP address and information about your browser and device. Google is established in the United States and participates in the EU-U.S. Data Privacy Framework.
Transfer to third parties
In connection with the performance of any agreement with you, we may have to provide your personal data to parties that supply us with parts, materials and products, or that carry out work on our instructions.
We also use external server space for the storage of (parts of) our sales and purchasing records, of which your personal data form part. For that reason your personal data are provided to our server space provider. Our website and contact form run on the platform of the supplier of our content management system; your data are therefore also provided to that party.
We use Microsoft Office and the associated storage facilities for emails and other files. Microsoft is established in the United States, which means your data may be transferred to the United States. Microsoft participates in the EU-U.S. Data Privacy Framework, which ensures that your personal data are protected.
Login function
Our website contains a login function that is used solely by our own administrators for the maintenance of the website. There are no login accounts for customers or other visitors. This function therefore does not process any personal data of website visitors.
Job applicants
If you apply for a position with us, we process the data you provide (name, contact details, CV, motivation and any other information you supply) in order to assess your application and to communicate with you. We retain these data until no later than four weeks after the end of the application procedure. With your consent, we retain your data for a maximum of one year so that we may contact you again should a suitable vacancy arise.
Cookies
We use cookies on our website. A cookie is a small text file that is stored on your computer, tablet or smartphone when you visit our website. We use Google Tag Manager to manage these cookies. The cookie notice on our website is provided by CookieConsent.com, where you can set and change your preferences at any time.
Necessary cookies ensure that the website functions properly and remember your preferences, including your cookie preferences. We place these without your consent, as the website does not function without them.
Analytical cookies are used to measure how our website is used and to improve it. For this we use Google Analytics 4, with which we measure page views only. The data collected in this way are processed by Google. Google is established in the United States and participates in the EU-U.S. Data Privacy Framework.
We do not place any marketing or tracking cookies.
You can also refuse or delete cookies through your browser settings.
Retention period
If you have requested a quotation from us but have not become a customer, we will delete your data no later than one year after our last contact. Likewise, if we have received a quotation from you but have not become your customer, your personal data will be deleted no later than one year after our last contact.
If you have become a customer of ours, or we of yours, we will retain your personal data for a period of seven years after the end of the financial year in which the agreement with you was fully performed. The seven-year period corresponds to the period during which we are required to retain our records for the Dutch tax authorities. After this period, we will delete your personal data.
Security
We take the protection of your data seriously and implement appropriate technical and organisational measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised alteration. If you believe that your data are not properly secured, or there are indications of misuse, please contact us at info@douna.nl.
Your rights
You have the right to ask us for access to your own personal data. Where there is cause to do so, you may also request that we supplement your personal data or correct any inaccuracies. In addition, you have the right to request the erasure of your personal data or the restriction of their use. You may also object to the collection and use of your data, or lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens). Finally, you may request that we provide your personal data to you or transfer them to another party.
